Director of Operations
Location: Hybrid (Harrisonburg, VA area). Remote, with a day a week min. at HQ during onboarding, then 1-2 days per week every other week thereafter or as necessary.
Organization: RecRe, Inc.
Reports to: COO/CTO
Direct reports: Warehouse and logistics lead to start with growing responsibility as you demonstrate effective leadership and as the team grows.
Schedule: Full-time. Core working hours follow US Eastern business hours; the rest of the week flexes around project needs.
Position Overview
RecRe has nearly 90 campus partners and a lean team. A lot of how we run is already systematized. We are recruiting for a lead who runs the operation on top of these systems: the deal flow from signature to installation, the projects that touch more than one team, hiring, and the reporting rhythm that tells us whether we’re on track and when to apply more gas to grow faster.
Your mission is to help the founders scale the team and its operations as the company grows, so they can spend their time on product and revenue. You are also responsible for taking tribal knowledge, and processes that still lives in people’s heads, and ensuring it gets documented and owned. Where the tools or systems need to change, you hand the CTO clear requirements. We use AI every day here, and we expect you to.
Key Responsibilities
The responsibilities include, but are not limited to:
- Deal operations. Own the deal-closing process from signed proposal through procurement, contracts, invoicing, scheduling, and installation, plus renewals for existing accounts. Sales makes the commercial decisions. You own the sequence and the pace: know what’s with whom, follow up on what’s owed, and make sure nothing sits. Speed, agility, and faster deal closings are the goal here.
- Cross-team projects. Run the projects that touch more than one team: product releases, hardware launches, catalog changes, customer programs, the conference calendar. Set the timeline, track the commitments, land them.
- Reporting and meetings. Own the weekly and monthly reporting cycles and coordinate the meetings that go with them, including ensuring that they happen. Each team’s numbers are accurate and on time, agendas come from what the reports say, and problems get named before the meeting, not in it.
- Hiring. Run our hiring process end to end: sourcing, structured interviews, working sessions, offers, onboarding. Help other teams hire and onboard theirs.
- Process and documentation. Make sure every recurring process is documented and assigned to a name. Keep the key dates for each project and department on the calendar and in check so the owner acts before the deadline, not after.
- Team rhythms. Own the all-hands cadence, HQ team days, review timelines, team events, and the small things (birthdays, anniversaries, new-hire welcomes) that get dropped when everyone’s busy. Manage the hiring and team-events budget with the CFO. Keep the company handbook current. Keep our trains running on time…
- Other duties assigned by the Supervisor
Tools: Asana, Notion, HubSpot, Slack, Google Workspace, Claude Cowork, and modern AI tools.
What Success Looks Like
- 30 days: You know how every recurring process works today and who carries it. You’re in the deal-closing flow and the hiring process.
- 60 days: Deals move on your cadence. Your first cross-team project is in motion. You’re managing your direct reports.
- 90 days: Weekly and monthly reporting runs on time without a founder chasing inputs. You’ve named the processes that are missing or undocumented and have a plan with each team to close them. The recurring work that used to route through a founder routes through you.
