Four Ways to Get More Students Engaged This Fall, and How to Actually Prove It Worked
It’s early August. Campus is quiet, your fall calendar is mostly built, and your student staff hasn’t shown up yet. You’ve got a few weeks before the first move-in cart rolls up to a residence hall.
This is the best window you’ll get all year to ask a harder question. Not what are we running this fall, but how will we know if it worked?
Most teams can tell you what they programmed. Fewer can tell you how many unique students they reached, which ones came back, or what those students actually wanted instead. That gap gets more expensive every year, because the budget conversation in spring 2027 won’t be about how hard your team worked. It’ll be about what you can show.
The stakes here are well documented. Research on campus recreation participation and retention has repeatedly linked involvement to students staying enrolled, and a 2020 study on facility entrance data found that simply walking in the door was associated with better retention outcomes. Meanwhile the Healthy Minds Study and the Gallup and Lumina State of Higher Education report keep pointing at the same thing. Students who feel connected do better, and plenty of them still don’t.
So here are four approaches campuses use to drive and measure engagement. All of them work. They just cost very different things. Worth thinking about which mix fits the staff you actually have.

Option 1. Big campus events
The default move, and for good reason. Welcome week, homecoming, late night programming, the fall concert. Events create energy, they give students a shared moment, and they’re visible to everyone up your reporting line.
What you learn. Headcount, and a lot more if you use ticketing or a check-in app. Card swipes at the door give you unique student IDs, class year, and repeat attendance across the semester. That’s real data and it’s worth collecting.
What it costs. Events are the most labor-intensive thing your department does. One large event can eat weeks of planning, a dozen staff on site, and a budget line that could have funded a semester of smaller programs. Your team is stretched thinnest right when engagement matters most.
The measurement catch. Attendance tells you who walked in. It doesn’t tell you whether any of them found a friend, joined a club, or came back. And the students you worry about most, the ones who aren’t leaving their room, are the least likely to show up to something crowded in the first place. This is the same limitation that pushed instruments like the National Survey of Student Engagement past raw participation counts and toward what students actually did with their time.
There’s also the part nobody puts in the report. Your event ends at 10pm. The night doesn’t. Whatever happens between 10 and 1 is real student life, and it’s invisible to you.
Ask your team this. Of the students at our three biggest fall events, how many showed up to more than one? If you can’t answer that, you’re counting attendance and calling it engagement.
Option 2. Counting foot traffic, by hand or with sensors
The honest, unglamorous option, and it comes in two flavors now.
The manual version is a clipboard at the front desk, a clicker at the lounge, a student worker logging who walks through. The digital version is a real industry at this point. Overhead sensors mounted above your doorways, thermal or optical counters, dashboards that break traffic down by hour. Plenty of good vendors do this well, and if your question is how many bodies move through this building, it’s a reasonable buy.
What you learn. Volume and patterns. Foot traffic by hour and by day is genuinely useful, especially if you’re trying to prove a space is underused or that your building hours don’t match how students actually live. ACUI has written about how central the union is to where engagement happens, and traffic data helps you defend that space in a budget meeting.
What it costs. Manual counting is cheap to start and expensive to keep. Someone has to sit there. Someone has to type it into a spreadsheet in November when a dean asks for numbers. Sign-in sheets get skipped, students walk past, and your student staff forgets on a busy night. By December you have a dataset with holes in it and no idea how big the holes are.
Digital counters fix the reliability problem and hand you a different one. There’s install, there’s a subscription, and there’s still a person who has to pull the report and turn it into a story your VP cares about. If nobody owns that job by name, it doesn’t happen.
The measurement catch. Counters count bodies. They can’t tell you if that’s four hundred students or forty students walking past ten times. No class year, no residence hall, no first-year who hasn’t found their people yet. And you can’t follow up with anybody, because you never knew who was there.
The bigger issue is what the graph looks like after dark. Sensors happily keep counting at 11pm, and that’s usually when the line goes up. But by then your desk is closed, your gear closet is locked, and the number on the dashboard is the only thing you got out of that hour. You end up with excellent evidence that students wanted something you weren’t open to give them.
Ask your team this. Who owns pulling and reporting this every month? If the answer is nobody in particular, it won’t get pulled.
Option 3. Student-led micro-programming
Instead of running everything centrally, you give students what they need to run small things themselves. An RA who wants to get twelve residents outside on a Sunday. A student org that needs a cornhole set and a speaker. Two roommates who want to try pickleball without signing up for a class.
Small-group activity is where belonging actually gets built. Six students playing spikeball on a Tuesday afternoon probably does more for retention than most of what happens on a main stage, which lines up with what NIRSA’s research on the impact of campus recreation has been saying for years.
What you learn. How students choose to spend unstructured time. That’s one of the most useful things you can know about your campus.
What it costs. Less staff time than events, more coordination. Somebody hands out the gear, tracks what came back, and deals with the missing item. That work lands on a front desk already covering four other things. And it only works while that desk is staffed, which is the same reason a lot of this energy dies at 8pm.
The measurement catch. This is the hardest kind of engagement to count, which is exactly why departments don’t get credit for it. Independent activity leaves no sign-in sheet behind. If you can’t measure it, it never makes it into your annual report, even when it’s the most valuable thing happening in your buildings.
Option 4. Self-service access, with the measurement built in
This is the piece a lot of campuses are adding for fall 2026, and it’s the one that changes the labor math.
RecRe is a smart locker that lives in your union, your lobby, your residence hall, or right outside on the green. Students verify with their .edu email or your SSO, open a door, take what they need, and bring it back. No desk, no shift, no paper.
Install takes a couple of hours and students start borrowing the same day. After that your team spends a couple of minutes a week on oversight. The gear is available 24/7, including 9pm on a Tuesday when the rec center is closed and the front desk is dark. The University of Cincinnati is up to 20 units across campus now, and that around the clock piece is the reason they keep adding them.
That’s worth sitting with. Every other option on this list can technically be always-on. It’s just that always-on has a price, and the price is a person. A self-service system is the only version where extending your hours to midnight doesn’t cost you a payroll line.
What you learn. This is the part that surprises people. Every checkout is a data point tied to a real student. You can see which items move, which hours matter, which buildings are busy, how many unique students you reached, and who came back a second and third time. Students leave feedback right in the app, so you find out what they wish you carried before you spend next year’s budget guessing.
The late-night picture is usually the most interesting thing in the dashboard. Not because anyone planned it, but because that’s when students finally have time.
What it costs. Inventory, a power outlet, a network connection, and ten minutes with Facilities to mount it. Then a couple of minutes a week.
What this looks like on real campuses
UC Berkeley stocks RecRe with everything from picnic baskets to board games and outdoor game sets. It made the student union a destination instead of a building students pass through. When the gear for a spontaneous afternoon is already in the building, programming starts happening without a program.
The Ross School of Business at the University of Michigan runs two boxes with two very different jobs. One is built around student activities, giving small groups a fast way to grab a game and get outside for an hour. The other sits in the main lobby and holds academic success items like MacBook chargers, dongles, and adapters, so a student who forgot a cable doesn’t lose a class session over it.
Same hardware, two completely different outcomes. One supports connection, one supports academic success, and both produce data you can report on. You can see more of how campuses are using their boxes and which schools are running them.
The questions to bring into your fall planning meeting
Whatever mix you land on, run it against these five. If you can’t answer one, that’s your gap.
How many students are we reaching? Unique students, not attendance. A program that serves the same fifty students twelve times is a good program with a reach problem.
Who are they? Class year, residence hall, commuter or resident, first-year or senior. If your engagement is concentrated in students who were already involved, you know where to aim next.
What does our data look like after 8pm? For most campuses this is the honest answer to whether you’re measuring student life or measuring office hours.
How do we hear back from them? A survey in April tells you what you should have done in September. You want a way for students to tell you what they need while there’s still time to act on it.
Can we report it without a two-week scramble? If pulling your engagement numbers takes a student worker, three spreadsheets, and a weekend, it won’t happen consistently. The best measurement setup is the one that runs whether or not anyone remembers to run it.
Start with one building
You don’t need to rethink your whole approach for fall. Pick one space, decide what you want to learn about it, and set up a way to learn it before students get there.
